Senior Project Manager

We are looking to hire a Senior Project manager who will own the delivery of projects using the DST/SS&C methodology and processes, within agreed timelines, budget and to quality expectations, in line with: agreed objectives, business case and quality gate measures.

To deliver consistent, timely and accurate reporting, including: summary status, financial/budgetary controls and project-wide resource requirements. Active monitoring and management of all risks and issues, driving the project(s) towards completion, in line with the Enterprise Change Framework. To deliver timely, concise, accurate and relevant communication with stakeholders, internally and to clients/3rd parties.

Main Responsibilities will include but not limited to:

Project Initiation

  • Confirm Business case is in place and agreed
  • Document the agreed project scope, objectives and measures of success, (inc quality gate criteria)
  • Confirm and engage with stakeholders (internal, external and 3rd party) to ratify scope and objectives
  • Gather all required information to create Project Initiation Document (PID), Financial Appraisal (FA),
  • Project Plan, Project Impact Assessment (PIA), Project Opportunity Document (POD) and obtain required sign off

Project Budgetary Control

  • Maintain control of budget expenditure across all areas and activities
  • Provide budgetary reporting by updating project spreadsheets
  • Accurate reporting of projected costs and where applicable, population into relevant tools for client charging calculations
  • Provide detailed explanations for any deviation from the budget, according to agreed contingency criteria, ensuring early escalation if required

Project Monitoring and Communication

  • Monitor progress and maintain regular, timely & accurate communications to all stakeholders
  • Provide reporting to various stakeholder audiences, setting & managing expectations at all stages
  • Monitoring of risks and ensuring plans in place to mitigate the realisation of these
  • Chair and document meetings, generate discussions and facilitate resolutions for issues, gaining collective agreement for next steps, ownership and commitment by all to achieve within agreed timelines
  • Work closely with the Sponsor to ensure the project is supported and delivered as per expectations
  • Face off to Clients with status updates and respond to Client queries
  • Ensure quality gate requirements are met at relevant stages during the project lifecycle

Project Facilitation
  • Identification at outset of: Constraints, Assumptions, Risks, Dependencies, Decisions, Issues
  • Actions - active management of these and any others that arise during the project
  • Managing changes to plans, assessing impact on business case and escalating as appropriate
  • Identification and resolution of potential resource conflicts, escalating as necessary in good time

Project Diligence

  • Maintain governance: follow DST/SS&C project methodology and use approved document templates
  • Keep all documents up to date, accurate, formatted, in correct folder structure, version controlled, ready for audit inspections
  • Completion of Closure Report within Service Level Agreement (SLA) timeframe

Continuous Improvement
  • Monitor issue resolution and capture approach; feed into Lessons Learnt for the benefit of future projects
  • Record observed process improvements discovered / trialled during project execution and communicate to appropriate central control to consider application in future projects/other activities
  • Work alongside EPMO for Post-Implementation Reviews (PIR) as appropriate to identify positive outcomes & areas for improvement to feed into Lessons Learnt Log & general process improvements on future projects

Ideal Candidate

  • Previous experience of change management/project management in an equivalent role
  • Excellent influencing & persuasion skills, gaining commitment from internal, client and 3rd party contacts to deliver project requirements
  • Experience of managing delivery of software solutions in line with client's technical specifications and/or business model requirements
  • Excellent client-facing skills
  • Commercially minded, project financial/budgetary experience, whilst managing simultaneous demands and competing priorities
  • Delivery & Quality focused; positive committed attitude towards excellence, managing expectations and maintaining positive relationships with sometimes multi-layered/complex stakeholder audiences
  • Effective leader of people across multi-site locations with competing priorities, facilitating resolution of resource conflicts, maintaining drive and commitment from all, throughout the project lifecycle
Nice to have
  • Knowledge of DST systems, operating models and service level agreements/ standards
  • Industry recognised professional qualification and knowledge of project management methodologies
  • Experience of working within a multi-site, international environment
  • Competent user of: MS Project and Visio
  • Experience of working in professional services (e.g. software development or technical consultancy role)
  • Experience within the financial services industry; specifically Fund/Asset Management
